Key Responsibilities

  • Collaborate closely with Front Desk staff, Lead Medical Assistants, and the Clinical team to ensure provider schedules are optimized and consistent.
  • Coordinate and communicate patient scheduling in real-time, adhering to Legacy's guidelines.
  • Investigate and address scheduling errors, escalating recurring issues as necessary.
  • Manage and adjust patient schedules to enhance efficiency and clinic flow.
  • Use lists effectively to schedule same-day or next-day appointments.
  • Work with Site Leadership to maintain a roster of per diem, locum tenens, and alternative providers for shift coverage.
  • Facilitate appropriate scheduling for walk-in patients, including newborns.
  • Serve as the primary contact for the Contact Center staff for same-day visit coordination.
  • Assist with reminder calls and manage portal messages to ensure patient engagement.
  • Update patient registration information with accuracy and attention to detail.
  • Participate in mandatory training sessions and perform additional duties as assigned.

Minimum Qualifications

  • High School Diploma.
  • Medical Assistant-Certified or EHRS medical documentation training.
  • Must maintain BLS/CPR.
  • Previous experience in a medical clinic setting.
  • Proficient in entering data in an EHRS.
  • Excellent written and oral communication skills.
  • Strong ability to work both independently and as a team.
  • Self-motivated and able to demonstrate problem-solving.
  • Willing to communicate frequently via phone with patients.
  • Spanish-speaking preferred.
