Clinical Scheduling Assistant - Job Overview

Schedule: Monday-Friday (8AM-5PM)

  • Collaborate with a cross-functional team to enhance scheduling consistency and efficiency.
  • Communicate effectively with providers, staff, and patients to facilitate access to care.
  • Drive innovation by employing data-driven approaches to problem-solving.

Key Responsibilities

  • Collaborate with Front Desk staff, Lead Medical Assistants, and Clinical teams to monitor and optimize provider schedules in real-time.
  • Initiate and coordinate communication for day-to-day scheduling, ensuring adherence to Legacy's established guidelines.
  • Investigate scheduling discrepancies and escalate recurring issues to relevant stakeholders.
  • Manage scheduling dynamics, adjusting patient appointments as necessary to maintain clinic flow.
  • Utilize lists to efficiently schedule same-day or next-day appointments.
  • Work with site leadership to maintain a roster of available per diems, locum tenens, and alternative providers.
  • Expedite scheduling for walk-in patients, including newborns, to ensure timely care.
  • Serve as a primary contact for the Contact Center, facilitating same-day visit accommodations.
  • Assist with patient reminder calls and manage portal messages for assigned sites.
  • Update patient registration details, including provider assignments and demographic information.
  • Participate in trainings to keep abreast of new processes and integrate them swiftly into your workflow.
  • Perform additional duties as required to support the clinic's mission.

Minimum Qualifications

  • High School Diploma is required.
  • Certification as a Medical Assistant or training in electronic health record systems (EHRS) documentation.
  • Current BLS/CPR certification is mandatory.
  • Prior experience in a medical clinic setting, demonstrating proficiency in EHRS data entry.
  • Exceptional written and oral communication skills are essential.
  • Proven ability to work both independently and collaboratively to achieve organizational objectives.
  • Demonstrated problem-solving skills with a self-motivated approach.
  • Willingness to engage in frequent phone communication with patients.
  • Spanish-speaking ability is preferred to enhance patient interaction.
