About the Position

The Vision Coordinator monitors and coordinates the patient flow in the clinical area and provides support to the Vision Department. 

Essential Functions 

  • Verify prescription glasses and notify patients when eyewear is ready for pick up and assist with dispensing non-Ryan White patient glasses or contact lenses.
  • Monitor the Vision EHR desktop – responding to and/or forwarding flags/documents in a timely manner including flags for Retinal Camera Screenings.
  • Assist in triage of urgent care patients with assistance from Vision Care Practice Manager as needed.
  • Monitor incoming faxes and call volume, and return voice messages in a timely manner.
  • Manage Vision provider schedules – including but not limited to monitoring the schedule for reschedule requests, filling open appointment slots, scheduling new patients, and canceling appointments.
  • Manage recall list, and run a monthly recall list of patients and schedule them for their follow up visits.
  • Run daily Inquiries in the EHR Vision Referral desktop for Internal Vision Referrals from other Legacy service lines. Schedule patients referred internally, and update service orders with contact attempts. ·
  • Provide assistance with cross coverage for fellow Vision care staff.
  • Receive training on Ryan White CPCDMS system.
  • Maintain communication with Vision Care Practice Manager—update on issues/questions/ suggestions for improvement.
  • Attend and participate in Vision Team Meetings and other necessary meetings as assigned.
  • Participate in the Performance Improvement Program.
  • Translate for providers when needed.
  • Perform other duties as assigned.

  
Education & Training Requirements 

  • High School Diploma or GED 
  • At least 3 years of experience in an optometric office, preferred
  • Spanish/English bilingual, preferred 

Work Experience Requirements 

At least 3 years of experience in an optometric office, preferred
